What we collect

  • Website/booking: details you submit (e.g., name, email, messages), technical data (IP, device, pages viewed).

  • Payments (if used): processed by our payment provider; we don’t store full card details.

How we use data & legal bases

  • Email updates/marketing: with your consent (you can unsubscribe anytime).

  • Appointments/communication:contract (to provide services you request).

  • Analytics/security/records:legitimate interests.

  • Legal/finance:legal obligation.

Processors we use
We use trusted providers to operate our services, e.g. Flodesk (email), Squarespace (website/CMS), acuity scheduling booking tool and stripe. They process data on our behalf under appropriate safeguards.

International transfers
Some providers may process data outside the UK (e.g., US). We rely on recognised safeguards (standard contractual clauses/UK IDTA) where required.

Retention

  • Marketing data: while subscribed or up to 24 months after last engagement.

  • Booking/admin records: typically 6 years.

Your rights
You may request access, correction, deletion, restriction, portability, or object to processing; and withdraw consent at any time. Contact golda@drgolda.com. You can complain to the ICO (ico.org.uk) but please contact us first.

Children
Our services are for adults; we don’t knowingly collect data from under-16s.

Security
We use reasonable technical/organisational measures (encryption in transit, access controls).

Updates
We may update this policy; the latest version will appear at /privacy.

1. About Dr Golda Limited

Dr Golda Limited is a private, specialist online menopause clinic providing remote medical consultations, detailed menopause assessment, clinically appropriate hormone replacement therapy (HRT) prescribing, and structured follow-up care for adults aged 18 and over.
The service is led by Dr Golda Parker, GP and British Menopause Society (BMS) Accredited Specialist.

We are registered with the Information Commissioner’s Office (ICO) as a Data Controller.

We are in the process of applying for CQC registration for the regulated activity: Treatment of Disease, Disorder or Injury (TDDI).

2. Scope of Service

The clinic provides:
• Remote menopause and perimenopause assessments
• Advice on hormonal and non-hormonal treatment options
• Prescribing of HRT and associated medicines where clinically appropriate
• Follow-up appointments and monitoring
• Signposting to NHS GP or specialist care when needed
• Lifestyle and symptom management advice

3. Service Limitations (Required for CQC Compliance)

Dr Golda Limited is not an emergency, urgent care, or out-of-hours service.
We do not provide:
• Emergency or urgent medical treatment
• Physical examinations or in-person assessment
• Walk-in or same-day urgent appointments
• Services to patients located outside the UK
• Guaranteed prescribing — treatment is only offered when clinically appropriate

If you experience any of the following, call 999 immediately:
• Chest pain
• Breathlessness
• Severe abdominal pain
• Sudden neurological symptoms (e.g. weakness, facial droop, slurred speech)
• Heavy vaginal bleeding causing dizziness or collapse

For urgent concerns, call NHS 111.

4. What to Expect From Your Consultation

Your consultation is delivered through Semble, a secure UK-hosted clinical platform.

During your appointment, the clinician will:
• Verify your identity (two identifiers)
• Confirm you are physically in the UK
• Complete a structured menopause assessment
• Ask about symptoms, medical history, risks and family history
• Discuss treatment options aligned with NICE NG23 and BMS guidance
• Explain risks, benefits, alternatives and uncertainties
• Agree a shared treatment plan with you
• Document the consultation at the time of the appointment

5. Diagnostic Testing

Dr Golda Limited does not collect or analyse samples.
If tests are clinically indicated, you will be referred to a:

CQC-registered or
UKAS/ISO 15189-accredited
UK diagnostic provider

These providers are responsible for:
• Sample collection and handling
• Transport
• Analysis and quality assurance
• Issuing the official laboratory report

Results are sent securely to the clinic and uploaded to Semble.

If results fall outside the scope of menopause care, we will:
• Explain the findings
• Provide written advice
• Share results with your NHS GP (with consent or lawful basis)

6. Prescribing and Treatment

Prescriptions are issued through SignatureRx, a secure GPhC-regulated electronic prescribing platform.

Prescribing is always:
• Based on clinical need
• Within NICE/BMS and GMC guidance
• Dependent on identification and location verification
• Documented clearly with rationale

The treatment plan includes:
• Type of HRT or non-hormonal therapy
• Dose and formulation
• Monitoring requirements
• Safety-netting advice
• Follow-up interval (3 months initially, then 6–12 months)

7. Communication With Your NHS GP

With your consent, or under a lawful basis where required, your GP will receive a secure NHSmail summary including:
• Your assessment
• Any medications prescribed
• Monitoring requirements
• Safeguarding or safety concerns (if applicable)

Information may be shared without consent only where legally required (e.g. safeguarding, risk to life).

8. Safeguarding

We are committed to protecting adults and children from abuse or neglect.
The clinician is trained to Safeguarding Level 3 (Adults & Children).

If a safeguarding concern arises during your care, information may be shared with:
• Local Authority Safeguarding teams
• Police (if required)
• Healthcare professionals involved in your care

Information is shared only when legally required under the Care Act 2014 or Children Act 1989/2004.

9. Accessibility and Reasonable Adjustments

Under the Accessible Information Standard and Equality Act 2010, you may request:
• Longer appointment times
• Interpreter support
• Alternative communication formats (large print, audio, easy-read)
• Flexible communication methods
• Adjustments for disability, neurodiversity or communication needs

You can request these at any time.

10. Data Protection and Privacy Notice (UK GDPR)

We process your data in compliance with:
• UK GDPR
• Data Protection Act 2018
• NHS Records Management Code of Practice (2021)

Lawful Basis

• Article 6(1)(e) – provision of healthcare
• Article 9(2)(h) – management of health and social care services

Consent is used only when sharing data externally.

Systems Used

Your information is stored securely in:
Semble (ISO 27001, AES-256 encrypted)
SignatureRx (secure, encrypted prescribing platform)

No data is stored on local devices.

Dr Parker’s laptop has:
• FileVault full-disk encryption
• Multi-factor authentication
• Strong password protection
• Remote-wipe capability

Information Sharing

Data is shared only when necessary for your care, including:
• Your NHS GP
• UK-accredited laboratories
• Specialist clinicians (with consent)

Data is never transferred outside the UK.

Retention of Records

Clinical records are retained securely for 10 years after your last episode of care, then destroyed using approved secure deletion methods.

11. Your Rights

You have the right to:
• Access your records
• Request correction of inaccurate data
• Request restriction or erasure (where legally permissible)
• Be informed about how your data is used
• Lodge a complaint with the ICO

12. Complaints Procedure

We aim to provide safe, person-centred, high-quality care.

How to Make a Complaint

Include:
• Your name
• Date of appointment
• Summary of concerns
• How you would like us to address the issue

What You Can Expect

• Acknowledgement within 3 working days
• Full written response within 20 working days
• Clear explanation of findings and actions taken
• Additional time provided if needed, with updates

All complaints are:
• Logged in the Complaints Register
• Discussed at governance meetings
• Used for quality improvement
• Included (anonymously) in the Annual Governance Report

If You Remain Dissatisfied

You may request:
• A further internal review
• External advice (e.g., GMC, Citizens Advice)

The CQC does not investigate individual complaints but welcomes feedback.

13. Data Breaches and the Duty of Candour

If a data breach occurs that risks your privacy:
• You will be informed without undue delay
• Serious breaches will be reported to the ICO within 72 hours
• CQC will be notified if required
• Steps will be taken to prevent recurrence
